Training Manager – HB Training
Hourly rate: £15-£18
Line Manager: Company Directors
Purpose:
Manage HB Training’s work based and JGW+ contract compliance & Quality Assurance through the delivery and co-ordination of courses and NVQ assessing.
Key Accountabilities:
Documentation
- Ensure all start, in learning and completion documentation is completed timely and complies with HBT and WG/ ESF/ JGW+ / B-wbl Consortium requirements, standards policies and procedures for the team
- Progress reviews to be planned, conducted and completed in Maytas Hub in accordance with compliance procedures and within target scheduled dates (JGW+ 31 days and Apps 61 days) for the team
- Liaise with Learning Support Co-ordinator in identifying ALN learner requirements and ensure support is in place for the team
- ILP to be updated as required for the team
- Ensure the team involve employers in all learner progress reviews
- West – ensure learners are accessing West on a regular basis and completing work set in order to achieve basic skills targets set by the team
- Ensure all learners are achieving their Prentis Iaith Target
- HBT employer & learner induction / learning journey to be completed following HBT policies and procedures
- Ensure the team Google diaries completed at least one week prior and accurately recorded, including amendments. Details of exact work needs to be documented on diaries
- Adhere to effective communication systems with team and directors and attending/chair meetings as required
- Ensure all IQA documentation, tracking on Maytas Hub and CA2 to be submitted timely following organisation policies and procedures
- Involve assessors on a 6 weekly basis in IQA feedback
- Complete and submit monthly time sheets and mileage to HR by 22nd of each calendar month. HBT reserve the right to decline late payroll documentation submission
- Ensure the team follow HBT policies and procedures when completing learner start and exit processes
Delivery
- Meet allocated start caseload monthly targets (12 per working day)
- Allocated learners to be visited at least once every 4 weeks
- Target and challenge learners to achieve targets in their Maytas Hub
- Update Maytas Hub; history, targets and ensure forward reviews and learning support review are planned
- Ensure learners make good progress through effective tracking
- Ensure review compliance of Maytas Hub
- Ensure learning programmes are completed within set timescales
- Identify barriers to learning and achievement
- Ensure delivery is varied, motivational and flexible to meet needs of learners
- Liaise with the Booking Co-ordinator for learners requiring ESQ during the induction stage
- Ensure case load allocation is maintained throughout the contract year
- Ensure HBT KPI’s are maintained throughout the year
- Ensure teaching and resource folders (Staff dashboard) are kept up to date and complies to Estyn requirements
- Ensure IQA is scheduled and conducted 6 hours over 6 week period continually
*Contract year 1st August to 31st July annually.

- Ensure awarding body documentation is completed to the required standard by the team
- Ensure that Code of practise criteria is adhered to by the team
- Maintain CPD file ensuring awarding body CPD requirements are met by the team
- Conduct quality assurance process and procedures as required

Safeguarding and Prevent
- Ensure your safeguarding and prevent training is current
- Ensure all learners and staff are aware of HBT safeguarding & prevent procedures
- Ensure learners and staff have completed their safeguarding & prevent training
- Ensure learners and staff have access to support and emergency external agencies
- Refer learners or staff who require support to HBT Designated Safeguarding Lead (DSL) officer for signposting to specialist
- Monitor learner and staff safety in the workplace and address any concerns with salon employer and HBT
Health and Safety
- Monitor Health and safety surveillance in learner’s workplace
- Liaise with the H&S Co-ordinator in conducting H&S audits
- Ensure the team are meeting their H&S targets and provide support if required
Generic

- Overtime or time in lieu hours have to be agreed and approved prior to submission of timesheets and miles. It also must Identified clearly on the Google diary and reason for time in lieu or overtime
- Mileage and timesheets must be submitted by 22nd day of each calendar month
- Attend annual appraisals
- Inform HR and line manager of sickness absence as soon as possible
- Submit Self-certify sick form to HR on return to work
- Changes to contracted days needs to be agreed
- Annual leave requests must be submitted and approved by HR
- Annual holiday allocations must be used within annual leave dates and cannot be carried over to the next year
- Comply with data protection & GDPR legislation
House Keeping
- Classroom management includes adhering to timely preparation of classroom, laundry, cleaning and waste disposal policies and procedures
- Maintain effective stock control, communicate stock necessities in a timely manner, adhering to company policies and procedures for reporting breakages and maintenance issues
- Ensure no learners enter prohibited areas
- All rooms prepared prior to commencement of teaching (all equipment prepared in a timely manner and returned after training)
- Ensure the team are following house keeping standards
IQA Responsibilities
- Conduct Internal Quality Assurance following company policies, processes and procedures
- Ensure effective use of Maytas Hub to record feedback to Assessors and track IQA on CA2 via Google sheets
- Attend/Chair IQA standards meetings quarterly
Management Job Responsibilities
New staff members:
- Allow new staff members to shadow your teaching sessions
- Allow new staff members to attend salon visits and shadow assessments/reviews
- Support new staff members with lesson preparation and documentation
- Carry out mentoring observations on new staff members at least once a month and provide detailed feedback
- Hold monthly support meetings with new staff members and discuss job progress
- Conduct a SWOT analysis and Development Plan with new staff members and review quarterly
Current staff members:
- Conduct team meetings monthly with all staff
- Carry out quarterly salon support visits
- Be available for staff members to contact if support is required
- Quality check teaching resources and teaching documentation
- Provide feedback and support on teaching resources and documentation
